If you are a client or business contact

3. How we collect your data

  • Directly from you — when you apply for a role, submit a form, email us, or speak with us
  • From publicly available professional sources, such as LinkedIn, where relevant to recruitment
  • From clients or third parties who refer you, where you have agreed to this

4. How and why we use your data

We use your personal data for the following purposes, relying on the legal bases shown:

  • To provide recruitment services — matching candidates to suitable roles, presenting candidates to clients, and managing placements. Legal basis: legitimate interests and, where required, your consent.
  • To deliver our automation and software services — communicating with clients and fulfilling engagements. Legal basis: performance of a contract and legitimate interests.
  • To respond to enquiries submitted through our website or by email. Legal basis: legitimate interests.
  • To meet legal and regulatory obligations, including those relating to employment agencies and right-to-work checks. Legal basis: legal obligation.

Where we rely on your consent, you may withdraw it at any time by contacting us (see Section 10).

5. Sharing your data

We only share your personal data where necessary, and never sell it. We may share data with:

  • Prospective employers and clients — where you are a candidate and we are presenting you for a role. We seek your agreement before sharing your details with a specific client.
  • Service providers who help us operate, such as email and form-handling providers, under appropriate data protection agreements.
  • Authorities or advisers where required by law.

6. How long we keep your data

We keep personal data only for as long as necessary for the purposes set out in this policy. For candidates, we typically retain your data for up to 24 months after our last meaningful contact with you, after which it is securely deleted or anonymised — unless you ask us to keep it longer so we can continue to consider you for roles, or unless we are required to retain it for legal reasons.

Note for Ayagan: set this retention period to match your actual internal policy. 12–24 months is common for recruitment. Confirm the exact period with your data adviser, then update this paragraph.

7. How we protect your data

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. Access to candidate and client data is limited to those who need it to do their work.

8. International transfers

Where any of our service providers process data outside the European Economic Area (EEA), we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission.

9. Cookies

Our website may use a small number of cookies to help it function and to understand how visitors use it. You can control or disable cookies through your browser settings. We will ask for your consent where required before placing non-essential cookies.
